How to create a budget/quote

As we know the creation of budgets is essential in the management of any business. From Stockagile we can create budgets quickly and be able to create them in future sales.

Requirements to be able to create budgets/quotes

  • The user must have the role of OWNER, STORE MANAGER or WAREHOUSE MANAGER. We can see the different types of roles in the section Create or edit a user.

The steps to create a budget/quote are:

  1. Go to the QUOTES section within the BILLING module.

  2. On the screen that appears, click on the NEW QUOTE button at the top right:

  3. Once inside the new budget, in the first section we complete the contact details:

    • The name of the contact.

    • Billing address.

    • The billing date and due date of the proforma (you can mark it directly for 30/60 days by clicking on the relevant numbers).

    • Type of serial number (the serial number itself will be generated in the field on the right, after "Saving" the invoice).

    • Invoice concept (in case it is necessary).

    • Pricing tier.

    • Currency.

    • Invoice language.

    • Fiscal addresses.

  4. In the next section, you can add Lines. Click on NEW LINE, and a product line will be added. The Lines are designed to add products or services that may or may not be created in the program:


    ⚠️ Important
    to note that products added to the lines will not be deducted from Stock.

    To add products or services to new lines, you can do so in two ways:

    • Advanced Search: If you click on the "MAGNIFYING GLASS" icon located to the left of the reference line, a pop-up window will appear displaying the products you have registered in Stockagile. By clicking on the CODE of each product, the variants will be displayed for you to select from:

    • Manually: Enter the reference, description, and price manually. ⚠️ Note: It is mandatory to select the tax to be applied to the product.

  5. In the fourth section, you can specify the payment method, as well as add discounts. Additionally, you have the option to write notes (either visible on the quote/budget or private):

  6. On the right side of the fourth section, you will see the breakdown of the quote (Subtotal, Taxes, Discounts, and Total):

  7. And finally, in the last section, you can view and edit the payment method, the amount to be paid, and the payment date:

  8. Once all the fields of the quote are filled in, through the ACTIONS button, you can perform various operations, such as converting the quote into an sale order:

  9. If you return to the main QUOTES screen, you can filter them using the search bar and the calendar icon to filter by time periods:
