Set up a franchise for invoicing

How to register a franchise as a legal entity and link it to its location so you can invoice it.

Stockagile lets you register your franchises as separate legal entities and link them to the location they operate from. This way you can invoice their transfers or their sales from head office.

Once it is set up, continue with Creating Invoices for Transfers and Franchise Sales.

Requirements to set up a franchise

  • The user must have the OWNER role to register the franchise, and the OWNER, RETAIL MANAGER or WHOLESALE MANAGER role to link it to the location. You can see the different roles in Create or edit a user.

  • Have the “Multiple legal entities” add-on contracted.

Recommendations for setting up a franchise

Although you can create them during the process, we recommend creating these first:

Steps to set up a franchise

  1. Go to the COMPANY section from the side menu, under CONFIGURATION.

  2. In the “Other legal entities or franchises” card, click the AÑADIR NUEVA RAZÓN SOCIAL O FRANQUICIA button.

  3. Fill in the “Nueva razón social o franquicia” pop-up:

    • Legal name: The franchise’s legal name, as it appears on its invoices.

    • VAT: The franchise’s tax ID number.

    • Address, Zip Code, City and Country: The franchise’s fiscal address.

    • Invoicing method: “Firm sale” if you invoice the transfers you send it, or “Consignment sale” if you invoice its sales.

    • Invoicing contact: The contact the franchise’s invoices are issued to.

  4. Click SAVE.

  5. Go to the LOCATIONS section from the side menu, under INVENTORY, and click the franchise’s location.

  6. In the “Invoicing settings” card, select the franchise in the Legal entity name or franchise field.

  7. Click the card’s SAVE button.

When you finish, the franchise appears in the list of legal entities and the transfers or sales of its location become available to invoice.

Keep in mind:

  • The location’s legal entity is also the VAT number printed on that location’s register receipts.

  • The invoicing method decides which tab you use when invoicing: “Franchise transfers” for firm sale and “Franchise sales” for consignment.
