Create and edit collections and pre-sale orders

From the WHOLESALER module, there is the option to create pre-sale orders, grouped by collections.

A pre-sale order is a purchase request made before a product is available in stock or before its official release to the market. This type of order allows customers to reserve or secure the acquisition of an item before it is available for general sale; thus, customers have the opportunity to ensure they get the desired product once it becomes available, avoiding potential scarcity due to high initial demand. Merchants, on their part, can estimate demand and plan production and distribution based on received pre-sale orders.

Requirements to be able to place a pre-sale order

  • It is important to have customers created in the CONTACTS module.

  • It is essential that you have products created correctly in the system. You can see how to create a store in the section on how to create a product.

  • Have the warehouse created from where the sale will take place.

  • Have the price list created that you want to apply to the pre-sale products.

Steps to create a pre-sale order

  1. To create a pre-sale order, the first step is to create a new pre-sale collection. To do this, you need to go to the PRE-SALES section within the WHOLESALE module and click on "New pre-sale collection" (located at the top right of the screen):

  2. Once the pre-sale collection is created, four new sections are enabled: DETAILS, PRODUCTS, PRE-SALES and PURCHASES.

  3. In the first section called DETAILS, the first thing we see is a numerical summary of the number of products associated with the collection, the number of pre-sales made, the number of items ordered and purchased, and the total invoiced. Additionally, we can view and edit the basic information configured to create the pre-sale collection (Code, Brand, and Season). Finally, we can create a catalog of the products added to the collection, having previously associated the corresponding prices/rates:

In the second section (PRODUCTS), we will need to add all the products that we want to be part of the created collection, and therefore, those products that we want to add to the pre-sales created within that collection (if the products are not added in this section, it will not be possible to add them to the pre-sales). We will add new products by clicking on "Add product".

  5. Once the products have been added in the previous section, we can now create new pre-sale orders from the PRE-SALES section. To create new pre-sale orders, click on "Create pre-sale" and follow the same steps as in the creation of a wholesale sales order; for more information, refer to the article Create and deliver a sales order.

  6. Once one or multiple pre-sale orders have been created, if we don't have the products added in the orders, we can create their respective purchases in two ways: either by selecting a series of pre-sale orders and subsequently clicking on "Create purchase," or by directly clicking on "Create pending purchases. By doing this, the purchases for the registered/selected pre-sale orders will be created automatically. Once created, we can access them through the last section called PURCHASES:
