The product import template must be filled out, at a minimum, with the mandatory fields required by the program: Code, Name, Size, Color, Season, Brand, and Category. These details are essential for the products to be correctly created on the platform.
In addition, you can include any additional information you deem necessary to make the products more complete and detailed. This includes data such as prices, images, tags, descriptions, among others. The more information you add, the more complete the products will be within Stockagile, making their management and organization easier.
Steps to Fill Out the Product Import Template:
- First, you need to have the product template to start filling it out. You can obtain it by going to the "Products" section in the "Catalog" module, then clicking on "Import" and "New Import," and finally selecting the option "Import Products and Variants." A pop-up window will appear, from which you can view and download the template (Catalog > Products > Import > New Import > Template):
-
When accessing the template (a document created in Google Drive), it is very important to create a copy of the blank template and fill in your copy (or download the template to your computer in order to edit it).
-
On the first tab of the spreadsheet (instructions), you will find brief explanations indicating how each column should be filled out, along with the required fields, followed by some examples. The tab you need to fill out is the "blank template" (second sheet):
-
In the blank template, as a requirement, you must fill in at least the mandatory columns for Stockagile (Code, Name, Size, Color, Season, Brand, and Category):
- Code: Unique code that identifies the product. It must be the same for all variants of the same product.
- Name: Product name. It must be the same for all variants of the same product.
- Size (name): Name of the size, dimensions, etc.
- Color (name): Name of the color, flavor, etc.
- Brand (name): Product brand.
- Season (name): Name of the season, year, or collection.
- Category (name): Name of the product category.
-
- Once the entire template is filled out, it is very important to delete all the "extra" sheets with information or examples before importing it. To successfully import the file into the program, it must contain only one sheet (the sheet filled out for import).
-
Fill in every column marked as "mandatory" for the correct import of products.
-
When entering information, the format of the cells must be plain text for text fields, and for numbers, use number format without formulas.
-
Ensure there are no hidden rows in the file.
-
Do not leave empty rows or columns, or incomplete information.
-
You cannot use asterisks or special characters in general.
-
If you use the "instructions" sheet of the Stockagile template, delete both the provided examples in the template and rows 2 and 3 of the sheet, which indicate field requirements and explanations. Also, verify that no other rows contain preset information, or the program will interpret them as products, which will cause errors.
-
Stockagile always works with two variants. You can learn how to define them in the guide on "Creating and Editing Variants such as Sizes, Dimensions, Colors, or Flavors."
-
If you have multiple stores or warehouses, you must add different stock columns that you will need to assign. The same applies to pricing or price levels. Properly identifying the location/price level columns corresponding to each warehouse/price level will help when importing the file, as you will need to match each column to the appropriate fields in Stockagile (step 6 in the article "Steps for Importing Products via Excel").
-
If a product has different prices for each of its variants, use the columns "Price with/without tax (variant)" and "DDP Price (variant)." In other words, use the price and cost fields that have "Variant" in parentheses (not product).
-
Make sure that an SKU or barcode is not duplicated across different products. You can also generate the codes within the product itself in Stockagile once the import is complete.
-
In the last row, there is a column labeled "Images." You will need to enter the URL where the image is hosted.
Recommendations
- If you plan to import a large number of products, we recommend doing so during quieter hours (such as early in the morning or at night), as this process may take time and could block or slow down other actions you are performing in Stockagile.
