Stockagile allows you to assign a UID or unique reference to a specific product. This is very useful when you need to track the products you sell.
Requirements to assign a series or unique reference
- The user must have the role of OWNER, STORE MANAGER, WAREHOUSE MANAGER, or PRODUCT EDITOR. The different types of roles can be seen in the section Create or edit a user.
Steps to assign a series or unique reference from a purchase
- To create a new product with a UID or unique reference, go to the PRODUCTS section from the side menu, located in the Catalog section.
- From the product list, click the NEW PRODUCT button at the top right.
- Fill in the different characteristics of the product as explained in the article Create a new product.
- It is very important that in the Details tab, you check the "Manage series" box and if it is a batch, also check the "Manage batches" box.
- Additionally, we recommend defining your inventory policy for inventory management and stock control, which you will find in the same box:
- FIFO: first in, first out
- LIFO: last in, first out
- FEFO (default): first expiration, first out
- Later, when you make a purchase of this product (you can review how to make purchases in the article Create and receive purchase orders), and have to create the delivery note for the product receipt, you will need to go to the "Details" tab where you must fill in the unique codes of each product or batch.
- Once the product is created and the series or unique reference is entered, go to the Stock tab within the product file, where you will find a list of the unique references of each product.
- You will see in the list:
- Variant: of the reference.
- Batch/series: batch/series number.
- Quantity: that batch has. If you make a sale, the same batch will appear in two different lines with the sales reference assigned at the end.
- Expiration: expiration date assigned to the batch.
- Warehouse: warehouse where that batch is located.
- Purchase: related purchase in which the batch was acquired.
- Sale: reference of the sale where those were bought.
- The vertical menu at the end of each line allows you to:
- Edit: only batches
- Delete: the units assigned to that batch/series line.

Steps to assign a series or unique reference from the Batches and series tab manually
- Go to the PRODUCTS section from the side menu, located in the Catalog section.
- Search and select the batch or series where you want to add a new reference.
- Within the product, go to the Stock Batches and series section.
- You will see the list of references, and you must click on "+ Add batch/series" depending on the type of reference.
- A pop-up window will open where you must assign:
- Warehouse *: where those stocks are located.
- Variant *: to which that batch belongs.
- Batch/series *: the unique reference that the batch/series has.
- Expiration: expiration date of that batch/series if it has one.
- Quantity *: if creating a batch, indicate the quantity. When it is a series, you will not be able to edit the quantity and it will always be 1.
- Movement reason: this is used if the batch quantity is edited to justify the reason for the movement.
- Notes: additional information to justify movements.
- Once the mandatory information is entered, the "Save" button will be activated.
- Click and you will immediately see the creation of your new batch/series reflected.
